Senior Events and Meeting Planner (SMEP)
As a Senior Events and Meeting Planner (SMEP) at IOSCO, you will orchestrate and ensure the flawless execution of the organization's events. This includes the IOSCO Annual Meeting (AM), various committee meetings, internal organizational events, and more.
This role requires flawless organization, strategic planning, and proficient stakeholder management to guide events from their initial conception to their successful conclusion.
You will be collaborating closely with the Meetings Coordinator (MC), and the Senior Meeting and Events Planner (SMEP) delegating tasks effectively, guaranteeing seamless execution and compliance with the high standards expected by IOSCO.
This role is designed for a dynamic, skilled professional who embodies strategic event management expertise with practical execution skills. The ideal candidate will possess a blend of creative vision and effective problem-solving capabilities to deliver exceptional events that resonate with our organization’s goals and values.
Key Responsibilities
- IOSCO Annual Meeting (AM) & host selection process: Lead organization and execution of the AM, including the oversight of the host selection process, in consultation and with the support of the MC. Delegate pre- and post-event duties, aligning with the MC’s workload for a shared responsibility model during the AM.
- Committee meetings and other events at IOSCO premises: Support the organization of committee meetings, including seminars, IOSCO Board Meetings, and Stakeholder Meetings, with responsibilities evenly divided between the SMEP and the MC, where roles of leading and supporting alternate based on the event.
- Internal events: In partnership with the MC, organize internal events, including offsite gatherings and HR-related occasions, with specific duties and frequency to be determined.
- Travel and location scouting: Travel to offsite locations for both local and international meetings as required, sharing responsibilities with the MC. Explore potential venues in Madrid and alternative locations for large meetings or AMs in coordination with the MC.
- Schedule planning and management: Manage the event schedule carefully, ensuring the availability of facilities and the feasibility of dates in collaboration with the MC. Update all IOSCO calendars with meeting dates and engage with relevant committees and organizations to finalize suitable dates for meetings.
- Liaison with embassies, consulates, and government agencies: Facilitate interactions with embassies and consulates for meeting attendees or speakers, assisting with visa processes and ensuring security enhancements at IOSCO HQ for specific meetings.
Qualifications and Skills
- Educational and professional background: Bachelor’s degree in event management, Communication and PR, business administration, or related field. At least 5 years of event planning and management experience, preferably within an international setting.
- Core skills and abilities: Expertise in planning, scheduling, and executing a diverse array of events, both on-site and virtually. Exceptional organizational, negotiation, and problem-solving skills. Strong communication and interpersonal abilities. High computer literacy and fluency in English and Spanish.
Additional Requirements
- Willingness to travel internationally and work flexibly according to event schedules.
